Software Update 12.02.25

On the evening of Thursday 12th February there was an update to your software, with several improvements to your service and two new reports.  Please see below for more information.

Updates to your software happen automatically and there is no action required by you. 


Customer Search Options

Customer search is now faster and more intuitive.  

When you start typing a customer surname, results will appear instantly, removing the need to press Enter every time.  See the short video below. 

In addition, retailers can now decide which fields to use when searching for a customer in the Sales area. As well as surname, this can include account balances, postcode or loyalty balance.   

To select which columns are displayed in search results, go to Settings > Sales > Terminals > edit your chosen Terminal.  


Orders Feature

You can now raise orders and manage part, or full, deliveries in Xpos.  Here’s how.

Within the Stock Control area, click on the Create Order button.  You’ll be asked to select a supplier from Xcodes.

Click on the supplier and add an order and reference number. 

In the search bar, type in a product. You can multi-select and/or use filters and narrow down your search by using sub groups.  

In the top right hand corner, you can select to filter by products in Xcodes, or choose to search only for products that have been stocked in before. 

Add the product to the order.  Edit the quantity and cost and sales prices, if required.

Once the order has been saved, you’ll be asked if you would like an Order Report.

Click Email Supplier and enter email address.  The order will be attached as a PDF. Click send.

In the Stock Control area, your new order will be marked as Incomplete.  

When a delivery arrives, double click on the order and click Accept.  From there, you can enter the product and quantity that has arrived and enter the invoice number.  

If this wasn’t the full order, the order will then be marked as Part Delivered in the Stock Control screen.

When all items have been delivered, double click on the order and click Check In All Items. Finally, click Complete. 

Select Orders in the top right navigation for a list of completed orders.

**Brandtrac Update**

This update to the cloud software is a big step towards the launch of Brandtrac – an exciting service which will help retailers to manage the challenges of stock control.   

We continue to work closely with your suppliers and brands and can confirm that Brandtrac is on its way!  It’s also free for retailers.  Please see the Brandtrac website for more information and to sign up to take part.  

It’s a new way of retailing that’ll save you time, money and stress.


Performance Dashboard Control Feature

You can now decide which sub groups contribute to the figures in your Performance Dashboard.  This enables you to hide sales that aren’t part of your overall business, for example. 

In the left hand navigation, go to Settings > Products > Groups > and then click on a sub group and edit.  In the pop up box, tick or untick ‘Show in Dashboard’.


Print Labels New Prompts

Following the return of a sale, there is a new prompt to print a label.

1) First, turn on the option in Settings > Sales > Terminals and tick the ‘Print Return Label’ box 

2) When you process a refund in the Sales are, a label dialogue will pop up asking if the item is suitable for resale

3) Click Yes to confirm the item will be going back into stock

4) You can print a label from here

In addition, there is a second new prompt following a stock in. The pop up will ask if you want to print a label and give you the options to change the quantity.


New Reports

Stock Movement Report

The Stock Movement Report was designed to give you a view of product movements categorised by brand, over a customisable time period. There are multiple uses for this report, including:

1. Certain tasks, such as stock ins, stock outs or stock adjustments may be carried out by various members of staff throughout each season. This report provides an overview of these actions to help ensure processes are being followed and the correct cost and sales prices have been inputted.  It also helps to ensure margins are accurately measured.
2. Use the report to compare deliveries with orders placed with suppliers, to confirm receipt of excpected stock.
3. Use as part of a review meeting with suppliers to analyse how much stock has been delivered during a season.  Did stock arrive when it was needed?

Stock Turn Report

Your stock turn number is a simple metric that helps you identify if you are over, or under-stocked. 

A high stock turn indicates stock is sold and replenished quickly, while a low stock turn rate suggests slower sales and potential overstocking.

 The report gives you a total stock turn figure as well as stock turn by sub group. 


How Do I Get the Update?

Your software was updated last night to prevent any downtime in sales and there is nothing for you to do now.
